Privacy Policy

This policy explains what personal data we process, why, and what rights you have under the General Data Protection Regulation (GDPR).

2. Principles

We process personal data only where there is a legal basis for doing so, and only for as long as necessary. Where processing relies on your consent (Art. 6 (1)(a) GDPR), you may withdraw that consent at any time with effect for the future.

3. Hosting

This website is hosted by IONOS SE, Elgendorfer Str. 57, 56410 Montabaur, Germany. When you visit the site, the hosting provider's servers automatically record technical access data (server log files): IP address, date and time of the request, the page requested, referrer URL, browser type and operating system. This is necessary to deliver the website securely and reliably. Legal basis: Art. 6 (1)(f) GDPR (legitimate interest in a functioning, secure website). A data processing agreement under Art. 28 GDPR is in place.

4. Cookies and consent

We use only technically necessary storage by default. Analytics and marketing tools are loaded only after you actively consent via the cookie banner. Your choice is stored locally in your browser so you are not asked again. You can withdraw consent at any time by clearing your browser storage for this site, after which the banner will reappear. Legal basis: § 25 (1) TDDDG and Art. 6 (1)(a) GDPR for optional cookies; § 25 (2) TDDDG for strictly necessary storage.

5. Payment processing (Stripe)

Purchases are processed by Stripe Payments Europe, Ltd., 1 Grand Canal Street Lower, Grand Canal Dock, Dublin, Ireland. When you buy, you are taken to a Stripe-hosted checkout page. Stripe processes the data required for the payment — such as name, email address, payment details, billing country and transaction amount — as an independent controller under its own privacy policy. We never see or store your full card details. Legal basis: Art. 6 (1)(b) GDPR (performance of a contract). Stripe may transfer data to the USA on the basis of Standard Contractual Clauses. 6. Appointment booking (Cal.com)

Bookings for Room Ready, the 1:1 Deep-Dive and the free intro call are handled by Cal.com. When you book, the data you enter — typically name, email address, chosen time slot and any information you add — is processed in order to schedule and deliver the session, and to send you reminders. Legal basis: Art. 6 (1)(b) GDPR (performance of a contract or pre-contractual measures).

7. Newsletter ("Tip of the Day")

If you subscribe, we process your email address in order to send the newsletter. The subscription uses a double opt-in procedure: after signing up you receive a confirmation email, and the subscription only becomes active once you confirm. This confirms that the address belongs to you. We store the time of sign-up and confirmation to demonstrate compliance: the confirmation link records the date, time and IP address of your click. Delivery is handled by Brevo (Brevo GmbH, Cologne, Germany), which also records whether emails are opened and links clicked so that content can be improved. Your address is transmitted to Brevo only after you confirm, and it is processed within the EU. Legal basis: Art. 6 (1)(a) GDPR. You can unsubscribe at any time via the link at the bottom of every email; your address is then deleted from the distribution list.

8. Analytics and marketing — only with your consent

The following services are loaded only after you accept them in the cookie banner:

  • Google Analytics 4 (Google Ireland Ltd., Dublin) — measures how the site is used, which pages are visited and where visitors come from, so we can improve the site. IP anonymisation is enabled.
  • Meta Pixel (Meta Platforms Ireland Ltd., Dublin) — measures the success of advertising on Facebook and Instagram and allows relevant ads to be shown to people who visited this site.
  • Microsoft Clarity (Microsoft Ireland Operations Ltd.) — records aggregated interaction data such as scroll depth and clicks, to identify usability problems.

These providers may transfer data to the USA. Transfers are based on Standard Contractual Clauses and, where applicable, the EU-US Data Privacy Framework. Legal basis: Art. 6 (1)(a) GDPR. Withdrawing consent stops any further processing.

9. Contact by email

If you email us, your message and contact details are stored in order to handle your enquiry. Legal basis: Art. 6 (1)(b) GDPR where the enquiry relates to a contract, or Art. 6 (1)(f) GDPR (legitimate interest in answering enquiries).

10. Retention

We keep personal data only as long as necessary for the purpose it was collected for. Data relating to purchases is kept for the statutory retention periods under German commercial and tax law (generally 6 to 10 years). Newsletter data is kept until you unsubscribe.

11. Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you (Art. 15)
  • have inaccurate data corrected (Art. 16)
  • have your data erased (Art. 17)
  • restrict processing (Art. 18)
  • receive your data in a portable format (Art. 20)
  • object to processing based on legitimate interest (Art. 21)
  • withdraw consent at any time, with effect for the future (Art. 7 (3))

To exercise any of these, write to hello@room-remembered.com. You also have the right to lodge a complaint with a supervisory authority. The competent authority for us is the Hessischer Beauftragte für Datenschutz und Informationsfreiheit, Wiesbaden.

12. Changes

We may update this policy when our services or the legal requirements change. The current version always applies.
